Count stock with Stock Scan

Record the stock you physically observe, review the totals and submit the count for inventory posting. Stock Scan supports counting the materials in one bin and counting one material across multiple bins. Choose the scope that matches the work you are doing.

A count records an observed total. It is different from receiving a delivery or moving stock between bins. For a blind count, enter what you actually see rather than trying to match an expected quantity.

Before you count

Use an activated scanner with access to the warehouse. On Stock Scan Home, select that warehouse and let its location information load while connected. Counting needs an eligible countable bin; a missing or unreadable bin list is a setup problem, not proof that the warehouse is empty.

Check units and barcodes before using package labels. A material's base unit, a case barcode and a supplier SKU have different purposes. For Kraft mailer (MAILER-KR6), one configured case contains 24 each. If you physically count two full cases, that is 2 cases or 48 each. Review the unit and converted base total before saving; do not enter 48 while the quantity field still means cases.

Coordinate the area being counted with other warehouse operators so the observed quantities have a clear meaning. Count only the selected scope, and use your own stock records and actual quantities.

Count one bin

  1. On Home, choose Count inventory. The bin scanner opens.
  2. Scan the intended bin label. An eligible bin starts the count. Alternatively, close the scanner, find and select the bin in the list, then choose Start blind count.
  3. Check the warehouse and bin displayed in the count. That bin remains fixed for this count.
  4. Choose Scan materials and scan a material barcode. In the default entry mode, the scan opens the counted-total editor. Enter the observed total, check the unit and the base-unit total shown by the save action, then save.
  5. Repeat for the materials you count in that bin. To correct an existing observation, scan its barcode again and edit the saved total. The new total replaces the earlier observation; it is not an additional delivery or adjustment.
  6. If you cannot use the camera, choose Enter barcode and observed total and enter the barcode and quantity. A barcode still has to resolve to an eligible material with usable unit information.
  7. Inspect the saved observations before proceeding. Record an explicit zero when you have checked for a material and found none. An omitted or unreadable item is not an observed zero.

The alternative continuous scanning mode adds one unit in the barcode's resolved unit for every accepted scan. Use it only when each scan represents another physical unit or pack. Repeatedly scanning a case label in that mode adds cases; default one-item entry instead opens the saved total for editing. Check the mode instruction above the scanner if you are unsure.

Review, lock and submit the bin count

  1. When every observation is correct, choose Review.
  2. Read Finish counting and review?. Choose Keep scanning if you still need to add or change totals. Choose Finish counting only when the count is ready: this locks the totals, and you cannot edit or add scans afterward.
  3. Inspect Review frozen totals, including each material, quantity and bin. These are the totals that will be submitted.
  4. Wait for the opening step and every frozen line to receive fresh server confirmation. Until then, commit is unavailable. Reconnect if necessary; do not create another count to bypass the waiting state.
  5. Use Commit count to reach the submission control, then complete the two-step Submit count confirmation.
  6. Keep the saved workflow until Count applied appears. Finishing count… means the finish action has been captured but its result is not yet confirmed.

An applied line or opening step is not an applied final count. After completion, inspect Activity and the relevant stock in Zapstra Inventory Management. A Shopify update also depends on the location's inventory authority and active outbound syncing; see inventory control and syncing.

Count one material across bins

Use Count this material from the material view when the question is how much of one item is held across the warehouse.

  1. Confirm the selected warehouse and material.
  2. Review the listed bins. Use Add a bin if the physical bin you are counting is missing from the list.
  3. Enter and save the observed total for each counted bin, including explicit zero where appropriate. Review the quantity's unit for every entry.
  4. Wait for the saved lines to be confirmed, then use Finish count when it becomes available.
  5. Verify Count applied before treating the operation as complete.

This is a separate workflow from the single-bin procedure. Follow its own controls rather than expecting the single-bin Review frozen totals step.

Inspect differences and handle unfinished counts

An existing Review count variance item can show expected quantities, observed quantities and their delta. Blind expectations may remain hidden, and a stale expected-stock warning means the comparison is not current. Read the line evidence before drawing conclusions.

Recount, adjudication and expected-stock refresh actions are not available from the variance screen. If a variance requires one of those decisions, preserve the record and ask the person responsible for inventory to resolve it through Support. Do not post an additional adjustment merely to clear the queue.

To pause an unfinished count, choose Close, then Suspend and keep my place, and reopen it from Home later. For an incorrectly scoped count, Abandon count opens a confirmation with an optional reason and Request cancellation. Cancellation remains pending at Canceling count… until Count canceled confirms it. Cancellation does not commit the observed totals, and is unavailable once committing has begun. An existing count awaiting review may also offer cancellation.

For connection loss, a changed session or locked saved work, follow offline work and scanner recovery. Preserve the original observations and check their outcome before counting or submitting the same scope again.
