Understand Shopify and connected-product integrations
Understand which records Inventory Management shares with Shopify and Stock Scan, and where to check a connection before relying on its result. A connected shop, prepared data, recorded inventory and enabled outbound syncing are separate states.
Shopify is the connected store platform
Zapstra Inventory Management runs inside Shopify admin. Its workspace uses the connected shop's products, variants and locations as inputs to setup, while also supporting materials such as packaging and components that are not sold as Shopify products.
Open Home → Settings → Integrations to view the integrations page. Shopify is shown as connected, and the page directs you to Orchestration for preparation and synchronization information. The connected label alone does not confirm that every preparation job is complete or every quantity has reached Shopify.
WooCommerce, BigCommerce and Amazon appear under Upcoming integrations. They do not currently have a connection walkthrough in Zapstra Inventory Management. To bring supported reference data from another system, use Data Exchange and its current templates.
Keep these four stages separate
| Stage | What it means | What to verify |
|---|---|---|
| Connect a shop | The shop is attached to a Zapstra Inventory Management organization | You opened the intended shop and selected the intended organization. |
| Prepare its data | Products, locations and inventory information are being made available for use | Home's preparation status and any work awaiting your input. |
| Record inventory | A supported receipt, adjustment, count or other operation has been recorded | The source document and inventory activity show the intended result. |
| Enable outbound syncing | Zapstra Inventory Management may send later changes in available stock to Shopify for the configured scope | Inventory authority and sync settings, mappings and readiness. |
Choosing Zapstra Inventory Management as the inventory source of truth is a consequential decision. Follow Choose who controls inventory and enable syncing before enabling outbound writes.
For example, Northwind Packaging delivers 48 each of Kraft mailer to Main Warehouse. A completed Zapstra Inventory Management receipt establishes the recorded receiving result. Whether a related Shopify quantity changes depends on the material's connection, location mapping, inventory authority and sync state. A saved receipt is not by itself proof that Shopify has already updated.
Check preparation and connection health
- Open Home and read the workspace preparation information. Follow any task requiring your input before treating missing data as a finished import.
- Open Settings → Orchestration when you need the preparation run details. Inspect the run and its jobs to find the step that is incomplete or needs attention.
- Check the affected product/material and location rather than relying only on a general connected label.
- If Shopify and Zapstra Inventory Management quantities differ, review authority and reconciliation using the sync troubleshooting guide.
- Verify the original document before repeating a stock-changing action. A receipt or adjustment can succeed even when a later sync step fails.
An unknown status means the app could not confirm the result. It does not mean there are no products, no stock or no pending work. Refresh the relevant status, then escalate with the affected shop, record and time if it remains unclear.
Webhook registration
Shopify webhooks notify Zapstra Inventory Management about relevant changes. The Webhooks settings page exposes registration and subscription health, with refresh, details and re-registration controls where available.
Use it to inspect a registration problem and follow a displayed repair action. It is not a complete delivery-by-delivery audit log, and a healthy registration does not prove that a particular inventory change has completed. Verify that change on its actual record. If re-registration does not resolve the issue, contact Support with the affected shop and the status shown.
Several shops in one organization
Install Zapstra Inventory Management in each shop and attach each to the same organization when the shops should share operational records. The organization holds shared suppliers, materials and inventory structures; one shop acts as the billing payer.
Connecting another shop does not justify adding its stock quantity to the quantity already recorded for the same physical warehouse. Review material identity, location consolidation and the authoritative starting balance first. Two Shopify locations may represent one physical location, or they may represent genuinely separate stock.
Follow Connect stores to one organization and Set up locations and shared stock pools. Billing and linked-shop capacity are explained in Plans and operational usage.
Stock Scan shares the operational workspace
Stock Scan provides scanning and floor workflows against the organization's materials, units, barcodes, locations and work. You activate a device with the available setup flow and an appropriate scope; its device capacity is part of the organization's plan.
Before starting scanner work, confirm that a scanned barcode identifies the intended material and unit. A case barcode for 24 each and an individual-item barcode should not be treated as the same quantity input.
Captured work, pending work and work applied by the server are different outcomes. When a device reconnects or a command is refused, check its result before repeating the physical operation. See Stock Scan setup and Offline work and scanner recovery.
BundlesIQ, Inventory Costing and Demand Planning
BundlesIQ is a separate app for bundle workflows. A Shopify bundle definition is not automatically a Zapstra Inventory Management production bill of materials. Configure each app's workflow and verify the resulting material relationships and inventory behavior instead of assuming that installing one has configured the other.
Zapstra Inventory Management exposes its own trade configuration, landed-cost readiness and illustrative estimates. Use Trade and landed cost for those current functions. The Welcome screen identifies Inventory Costing as coming soon; that label is not an additional connected service you need to enable to follow the Inventory Management guide.
Demand Planning is also identified as coming soon. Current Inventory Management planning uses manual intent and min/max stock targets. Automatic source selection does not place or send orders unattended. Use Order plan for the available planning workflow.
When live synchronization pauses
Sync can be affected by preparation, inventory-control settings, inactivity or billing state. Ordinary Control, idle-paused Control and billing recovery have different rules. Check the status and action shown in your workspace before assuming that choosing a plan or refreshing a page will resume everything.
Read Pause operations or uninstall safely before disconnecting a shop or pausing writeback. For a partial outcome, preserve the successfully recorded work and resolve the missing connection or sync step.
