Correct or reverse completed production

Use a production correction to fix quantities recorded incorrectly on a completed order. Use a supported reversal when the recorded build itself needs to be unwound. Both actions affect inventory and preserve a record of what changed.

This guide is for the person authorized to adjust completed production. Before changing anything, confirm the physical facts with the operator and check whether components or finished goods have subsequently been moved, consumed or sold.

Choose the appropriate action

Situation Approach
A completed order has an incorrect output, scrap or component quantity Use Correct if enabled and the order is eligible.
The recorded production should be unwound as a whole Review Reverse, its availability and the listed movements.
A released run has not started and has no recorded execution Use Withdraw release or eligible Cancel from production planning.
An operation shows Applying or its outcome is uncertain Refresh and investigate the existing operation before attempting another change.
Scrap was assessed as returnable A scrap disposition does not restore inventory; review the separate stock adjustment needed.

A correction is not a second production run. Enter the corrected total for each affected field, not the amount you want to add or subtract.

Correct recorded quantities

  1. Open Production and select the completed order. Confirm its output material, production location, completed quantity and component Actual qty values.
  2. Select Correct. The Correct production dialog starts from the quantities currently recorded on the order.
  3. Change only the fields that are wrong: Output quantity, Scrap quantity, or the relevant entries under Component usage. Keep each quantity in its displayed unit. Output quantity includes scrapped output; Scrap quantity is deducted from that total. For 10 produced, including 1 scrapped, the corrected totals are output 10 and scrap 1, leaving 9 in stock.
  4. Compare your entries with the Recorded values shown below the fields. Leave an unchanged field at its recorded value; do not clear it or replace it with zero to mean “no change.”
  5. Select Post Correction.
  6. Verify the completed order now shows the intended totals. Review the resulting inventory and activity at the affected location before making another adjustment.

For example, the order records 10 metres of ribbon used to make 10 Gift boxes, but the operator confirms that consumption was 11 metres. Change ribbon Component usage to 11 metres, leaving output and other components unchanged. The correction records the extra 1 metre of consumption; it does not consume another 11 metres. An unchanged submission has nothing to correct.

Reducing a component's recorded usage has the opposite inventory effect: it returns the difference in the recorded consumption. Do this only when the original quantity was wrong and the resulting inventory matches the physical situation. Do not use a production correction to account for an unrelated delivery, write-off or warehouse movement.

The order remains Completed after a successful correction. Its historical production activity and the correcting movement remain relevant when reviewing stock and valuation; the correction does not rewrite the BOM's recipe or establish a new supplier price.

Understand linked-transfer restrictions

Correct is disabled for an order configured to transfer its output to another location. A quantity correction on the production order cannot independently adjust that linked transfer.

If the build must be replaced, investigate the supported reversal of the affected order and its linked transfer first. A reversed order is terminal: it cannot be completed again. Any replacement requires a new production order with the intended quantities, after the reversal and physical stock have been checked.

Do not manually reverse a transfer and then assume the production order is also reversed. The two records must be reviewed together. If the operation is refused or only part of the linked process has finished, preserve the order and transfer references and contact Support.

Reverse an eligible completed order

  1. Open the completed order and select Reverse, if it is enabled.
  2. Read Reverse production order and compare the listed output removal, component restoration and any scrap reversal with the original run. Check the location as well as each quantity.
  3. Confirm that the listed reversal matches the correction you intend and the physical stock can support it. A reversal changes records; it does not physically dismantle products or move them between locations.
  4. Select Reverse Production.
  5. Verify the order reaches Reversed and inspect the affected inventory and any linked transfer. If the work should be recorded again, prepare a new order only after these results are clear.

The desktop screen currently enables reversal only when it can identify one inventory transaction to undo. A missing transaction or a history with additional transactions can leave Reverse disabled, including after a correction. Read the displayed explanation and ask Support to review the history; do not work around the restriction with a duplicate negative adjustment.

A reversal is recorded in the activity history and cannot be undone from the reversed order. Repeated correction and reversal are not a general-purpose undo stack.

Verify inventory, cost and syncing

After either action, compare the revised production quantities with stock quantities and inventory activity. Inspect cost layers and the inventory ledger where available before using an earlier valuation report. A BOM cost estimate does not prove that the financial effect of a correction has finished processing.

Available-stock changes may also flow to Shopify when the affected pool is controlled by Zapstra Inventory Management and outbound syncing is enabled. Verify that result separately.

For a stale-page message, refresh and compare the current values before submitting again. For a timeout or Applying, check whether the original request succeeded or remains pending. If uncertainty remains, provide Support with the production reference, linked transfer if any, the attempted action, the quantities before and after, and the approximate time. Do not issue another stock-changing action solely because a confirmation was missing.
