Pick and fulfill orders

Pick an order's items from their bins, then mark the order fulfilled in Shopify, all from your desk. Your team sees the same orders in Stock Scan, so you can pick on a phone or on the web.

Before you start

• Orders appear at locations that are managed in Zapstra. See Locations and stock pools.
• Marking orders fulfilled needs a role that allows it. See users and permissions.

Find the orders to pick

1. Open Inventory → Tasks → Order picks.
2. Check the Location. The page opens on the location with the most orders waiting; each option shows "{name} · {count} waiting".
3. Stay on To pick. Use the search box to find an order by order number, SKU or product.
4. Select an order to open it.

The list shows Order, Placed, Lines, To pick, Status (Not started, In progress or Picked) and Note. No customer names or addresses appear.

Print pick lists

To pick from paper, select up to 25 orders in To pick, then choose:

• Print pick list: one section per order.
• Print batch pick list: all selected orders grouped by bin, so you visit each bin once.

On the print page you can switch between By order and By bin, then select Print. An open order also has Print pick list in its header.

Pick an order

The order page shows the Order note, then To pick with each line's product, bins, quantity picked and state.

1. Select Pick on a line.
2. In Bin, check the suggested bin or choose another. Each option shows "{bin} — {available} available"; more choices are under Other bins.
3. Enter the Quantity you took, in the unit shown.
4. Select Confirm pick.

Check the result: the line shows "{picked} of {remaining} {unit}" and the bin it came from. A fully picked line moves to Picked.

If the stock came from two bins, pick the line twice, once per bin. Picking takes the stock out of the bin's on-hand.

Undo a pick

• Unpick: puts the picked quantity back in the bin it came from. Find it under the line's More menu, or next to the bin under Picked.
• Release: frees the stock set aside for the line's pick, so it can be picked again later. Enter a Reason and select Release pick. Unpick any picked items first.

Mark the order fulfilled

1. When the items are packed, select Mark fulfilled in the order's header.
2. Check the quantity for each line. Each shows "{picked} of {remaining} picked". Lines that need no pick ship with the order.
3. Enter a Tracking number and Carrier if you have them.
4. Tick Send shipment details to customer if Shopify should email the customer.
5. Select Mark fulfilled.

Check the result: the Fulfillments card shows "Sending to Shopify…", then Fulfilled in Shopify. Zapstra creates the fulfillment in Shopify. Anything you didn't send stays open on the order.

If part of the order won't ship, close the rest in Shopify admin.

See fulfilled orders and reprint labels

The Fulfilled tab lists orders fulfilled at this location in the last 30 days, with who fulfilled them, tracking and the shipping label. Select Reprint to print a label again. If the link has expired, print it from Shopify.
