Manage organization and personal settings
Use Settings to maintain your organization’s identity, contact details and timezone, and to update your own profile and display language. Organization settings belong to the shared organization, so review the organization you are working in before making changes from a connected Shopify store.
An organization owner or admin normally manages organization settings. Your Zapstra Inventory Management app access must also allow editing. Personal profile information and organization permissions are separate: entering “Purchasing manager” as your job title does not grant purchasing or administrative access.
Open Settings
- Open Zapstra Inventory Management in Shopify and go to Home.
- Find Settings and support and select Open settings.
- Use General for Organization, App Preferences, Notifications, Users & Access and Data & Privacy. Select Profile in the settings navigation for your personal details.
Save or discard your changes before moving to another section. Organization, app-preference and notification forms use Save changes; Discard restores the values from the last loaded settings. User-access changes have their own immediate-save controls, described in Manage users and permissions.
Update organization details
- Under General, select Organization.
- Check Organization Name. This is the organization’s display name. Use Legal Name for the registered business name and Tax ID / VAT Number for the relevant business identifier.
- Review Contact Information. Primary Email, Billing Email and Support Email are separate contact fields; enter the address appropriate to each purpose.
- Review Address. Enter the street, city, state or province, postal code and two-letter Country Code, such as
US. - Select Save changes and wait for the result.
- Reopen the section and confirm the saved values, especially if the save was interrupted.
These fields describe the organization. Review the destination on each purchase order separately; an organization address does not establish which warehouse should receive a particular delivery. See Create and edit a purchase order.
Set the organization timezone
The organization timezone supplies business-date context where Zapstra Inventory Management needs it. Choose the timezone used to coordinate the organization’s work, especially when connected stores or warehouses operate in different regions.
- Open General → Organization.
- In Timezone, select the appropriate named timezone.
- Select Save changes.
- Confirm that the selected timezone appears when you return to the page.
Not configured means the organization does not yet have a configured timezone. It does not mean that Zapstra Inventory Management has selected your browser’s timezone. Once configured, the timezone can be changed to another supported choice; the form does not provide a way to clear it back to an unconfigured state.
If the save reports a timezone error, choose a supported value from the selector and save again. If an error or interruption makes the outcome uncertain, reload the organization details before repeating the change.
Understand reporting currency
Reporting currency is selected when the organization is created and is read-only afterward. It can differ from a connected Shopify store’s currency. Changing language, timezone or contact details does not change reporting currency.
Keep the currency shown on each purchase order, supplier price and invoice in view when reviewing money amounts. For example, a USD price from Northwind Packaging should still be read as USD even if your organization reports in another currency.
If the field says Not configured, do not assume a default currency. Contact Support with the organization and the state displayed. See Install and prepare your workspace for the creation-time choice.
Change your display language
- Open General in Settings.
- Use the language selector beside the globe symbol near the page heading.
- Choose English, Español, Français or Deutsch.
- Wait for Zapstra Inventory Management to refresh the interface text.
The selection is saved for your user when the update succeeds; it does not require the organization form’s Save changes button. It changes the interface language, not the organization’s reporting currency or the text you entered into your records. If the language does not change, reopen Settings and check the selected value before trying again.
Update your profile
- Select Profile in the settings navigation.
- Enter your Display name and, optionally, your Job title.
- Choose your Job category, such as purchasing, operations or finance.
- Select Save profile. Zapstra Inventory Management returns you to Home after saving.
Your profile identifies you in the application. Your organization role and Zapstra Inventory Management access are managed separately under Users & Access. An incomplete profile may offer Skip for now; use Save profile when you are ready to retain your completed details.
Use preferences in the right workflow
App Preferences includes Default Access Level for members who inherit Zapstra Inventory Management access. Changes can affect existing members using that default, so follow the access guide before saving it.
The page also contains reordering, inventory-strategy, order-strategy and forecasting preferences. These controls do not establish an active forecast or authorize unattended ordering. Set operational replenishment quantities in Stock targets, then review and act on the Order plan.
Notifications stores notification preferences, including recipient and quiet-hours settings. Saving a preference is not confirmation that a particular notification was delivered. Continue checking the relevant order, receipt or operational queue for the current work state.
For downloadable operational data, use Data Exchange. For plan and payer changes, follow Manage billing.
When settings cannot be changed
Disabled fields can indicate insufficient permissions; Reporting currency is read-only for everyone. Ask an organization owner to review both your organization role and Zapstra Inventory Management app access if an editable setting is unavailable.
After any failed or interrupted save, reopen the original section to establish which values were retained. If a value remains incorrect, record the field name and error shown and contact Support. Avoid repeatedly saving several unrelated changes while the outcome is unclear.
