Get Stock Scan and activate your phone

Install Stock Scan, connect your phone to your organization and find your way around Home. Allow about five minutes.

Before you start

  • Ask an owner or admin to add you as a Stock Scan device user. They do this in Zapstra Inventory Management on Team & devices (see Manage Stock Scan devices).
  • Stock Scan is in beta. iPhone builds come through TestFlight and Android builds through the Google Play beta.

Install the app

  1. In Zapstra Inventory Management, open Home and find the Stock Scan card.
  2. Choose Get the app.
  3. Scan the QR code for your phone with the phone's camera, or open the link if you are already on the phone.
  4. Install Stock Scan from TestFlight (iPhone) or Google Play (Android).

Activate your phone

Your admin sends you one of three things. Each works for a short time, so use it promptly.

What you have What to do
An activation email Open it on the phone and tap Activate this phone. If a browser opens instead of the app, open Stock Scan and type the code from the email.
A QR code on a computer screen In Stock Scan, tap Scan to activate and point the camera at the code.
A short code or activation link In Stock Scan, enter it in Activation link or code and tap Continue.

Then:

  1. Read Confirm this organization. Check the organization name and the number of locations assigned to you.
  2. If they are right, tap Activate this device. If not, tap Cancel and ask your admin.
  3. Wait while Stock Scan shows Activating Stock Scan… and then Opening Stock Scan….

Check the result: Stock Scan opens on Home. Your admin sees your device as Active on Team & devices.

Choose your warehouse

  1. At the top of Home, tap the warehouse name. It reads Choose a warehouse if you can work in more than one.
  2. Pick the warehouse you are standing in.

Home, Today and every task now show that warehouse's work. Change it here whenever you move to another site.

Take a quick tour

  • Home shows today's work: deliveries arriving, production, transfers, orders to pick and anything waiting on you. See Use Stock Scan Home and Today.
  • Scan identifies whatever you point it at: a product, a bin, a purchase order, a transfer or a shipment label.
  • Activity lists what you and your team recorded, and anything still waiting to send from this phone.

Good first tasks: receive a delivery, count a bin and pick an order.

If something goes wrong

What you see What to do
That activation link or code isn't available. Ask for a fresh invitation. The code expired or was replaced. Ask your admin to send a new one.
That QR code isn't a Stock Scan activation code. You scanned a different QR code. Scan the activation code shown on Team & devices or in the email.
This invitation is for a different account. Sign out first, then activate with it. The phone is signed in as someone else. Sign out from the account menu on Home, then activate again.
No locations assigned on Confirm this organization Cancel and ask your admin to add locations for you.
Stock Scan isn't set up for this organization yet. Ask an administrator. Your admin needs to set up a shop for scanning.
Reactivation needed later on Your access changed or the device was removed. Ask your admin for a new activation, then tap Activate again.

Use more than one organization

If you work for more than one organization, open the account menu on Home and choose Add organization…. Scan or enter that organization's activation code. Switch between organizations from the same menu. Finish or save any open work first.
