Use Home and the Setup Center
Use Home to find daily work, open common actions and check the workspace's status. Use the Setup Center to choose what to set up next, revisit your goals and see tasks that support other workflows.
Goals describe what your organization wants to accomplish. They organize guidance; they do not grant permissions, change your plan, switch inventory authority or hide the rest of Zapstra Inventory Management. Your organization role, Zapstra Inventory Management access and the requirements of each action still apply. See Users and permissions if you can view a page but cannot make a change.
Find the main work areas
Select the Zapstra Inventory Management logo in the app to return to Home. The app navigation provides these destinations:
| Destination | Use it to |
|---|---|
| Order plan | Collect purchasing needs, review proposals and create draft purchase orders. |
| Purchase orders | Work with individual orders, supplier communication and receipts. |
| Inventory | Review stock, locations, tasks, transfers and inventory activity. |
| Production | Work with bills of materials, production plans and production runs. |
| Suppliers | Maintain supplier records and purchasing relationships. |
| Materials | Maintain the items and components your business buys, stores or uses. |
On Home, Quick actions provides Create PO, Add supplier, View events and Inventory differences. Select the action that matches the work you intend to perform. Opening a purchase order or plan does not send anything to a supplier; communication is a separate action within the purchasing workflow.
For configuration and help, go to Home's Settings and support section. Select Setup Center, Open settings or Get support. Documentation is available there too. See Settings and preferences for configuration, or Get help and report a problem for support requests.
Choose your goals
When Home offers Set your goals for Zapstra Inventory Management, select Choose your goals. In the Welcome screen, select Choose your goals again to reach the selection step.
- Under Why did you install Zapstra Inventory Management?, select each goal that applies. Focus or select a goal to read its explanation beside it.
- Select Continue.
- Under Which one should we start with?, choose the priority from your selected goals.
- Select Start with followed by the program name to save the selection and open its next destination. For purchasing, the button is Start with Supplier foundation. Alternatively, select Save and keep exploring to save your choices and return without starting the next task.
The goals correspond to these setup programs:
| Goal | Program |
|---|---|
| Suppliers and purchasing | Supplier foundation |
| Components and materials | Materials foundation |
| Build and produce | Build foundation |
| Several shops, one inventory | Multi-shop consolidation |
| Warehouse and floor operations | Floor operations |
| Inventory and cost ledger | Ledger confidence |
If you want to look around first, select Just exploring, then Save and go to the dashboard. Just exploring stands alone: choosing it clears the other selected goals, and choosing another goal clears it. You can also select Go to the dashboard from Welcome without saving a new selection.
For an organization that already has operational records, Home may instead ask Does this look right? and suggest a priority. Review the reason shown. Select That's right to confirm it or Choose differently to make your own selection. The suggestion is guidance, not an assessment that setup is complete.
Viewing Welcome is available with viewing access; saving organization goals requires Zapstra Inventory Management editing access. If saving fails, follow the displayed message. When Refresh is offered after another change, refresh and review the current choices before retrying.
Follow the Setup Center
Open Setup Center from Settings and support on Home. You can also use Switch program from Home's Next steps card to reach it.
- Review Your program, which shows the active program and its step progress. Find the Current step and read any requirement that prevents it from being available.
- Select Quick start to open the smaller setup path. Where offered, Full setup opens the broader path, and Import from a file instead opens the corresponding import workflow. Complete and review the actual task on its destination page.
- Return to the Setup Center to review the updated progress. Done reflects the recorded task state; simply opening the Setup Center does not complete operational work.
- Expand Your other goals with Show to inspect the other programs you selected.
- Expand Everything else you can do to inspect Ready now, Waiting on something, Not part of your goals and completed tasks. Read a blocked task's explanation before trying to proceed.
Suggestions appears when Zapstra Inventory Management has a relevant suggestion, such as reviewing supplier names from Shopify. A suggestion still needs your review. If Previous mission appears, expand it to inspect earlier setup guidance. Use Back to work when you are ready to leave the Setup Center.
To revise your priorities, select Change goals. The selection screen reopens with your current choices. Update them, select the new priority and save. This changes guidance for the organization; it does not remove supplier records, materials, purchase orders or inventory already recorded.
Read workspace status separately from setup progress
Home's Workspace status reports connected Shopify updates, preparation, live sync and the number of active shops. Select a status to open its related details.
Workspace prepared means the store data preparation is complete. Shopify updates connected describes the connection for ongoing Shopify updates. Live sync on, Live sync paused and Catching up on changes describe the live-sync state. These are separate facts. Check inventory authority and syncing before relying on Zapstra Inventory Management to update Shopify available stock.
While data loads, use the available tasks shown in the preparation card. A Checking or Unknown state means the app does not yet have a confirmed answer. Do not interpret it as zero inventory, no connected shops or successful setup.
When preparation is complete and no checklist work remains, those setup cards can disappear from Home. The Setup Center remains available through Settings and support. A completed checklist is useful progress, but it does not replace checking your units, destinations, opening stock and a real workflow. Use Check your setup before daily use before making Zapstra Inventory Management part of daily operations.
