Connect stores to one organization

Connect your Shopify stores to the same Zapstra Inventory Management organization so your team can work from shared materials, suppliers, purchase orders, and inventory records. Install Zapstra Inventory Management in each store, then attach that store to the existing organization. Installing the app alone does not establish that the stores belong to the same workspace.

Connection is the first step. You still need to review matching materials and locations, establish the physical stock baseline, and choose inventory authority before relying on shared availability.

Before you start

Have access to each store's Shopify admin with permission to install apps, and use a Zapstra Inventory Management account that belongs to the intended organization. Note the organization's name and each store's myshopify.com domain so you can distinguish stores with similar display names.

If you have not prepared the first store, start with Install and prepare your workspace. For an additional store, reuse that first store's organization rather than creating another organization with the same name. A new organization is a separate workspace.

Decide which store is responsible for billing. The payer shop is the Shopify store through which the organization's plan is billed. Other connected stores are linked shops on that organization plan; they do not purchase another allowance independently. The payer is a billing role, separate from the choice of who controls inventory.

Install and attach each additional store

  1. In the first store's Zapstra Inventory Management workspace, open the Setup Center from Home and find Connect your other shops in the Multi-shop consolidation program. If that program is not part of your setup, use Home and the Setup Center to add the Several shops, one inventory goal.
  2. Open the task to reach Connect your shops. Review the plan message. If it offers Choose a plan, review the organization's billing before proceeding. An unavailable plan check means the app could not verify coverage; it is not confirmation that another store is covered.
  3. Keep the Install link available. Print or save as PDF gives you a copy of the steps to use while switching stores. Editors and admins can also use Email me these steps to request the checklist at their own sign-in address.
  4. Sign in to the additional store's Shopify admin and open Apps. Open the install link and approve the Zapstra Inventory Management installation for that store. If the connection form asks for Shop domain, enter this store's myshopify.com domain and select Connect Store.
  5. Open Zapstra Inventory Management in the new store. On Connect Your Store, find Select Organization. In Organization, select the same existing organization used by the first store, then choose Assign Store. Check the organization name carefully; the list also shows your role.
  6. Return to Connect your shops in the first store. Check Already connected for the new store's domain. The list can include the first store as well, so confirm the actual domains rather than relying only on a count.
  7. When the second-store success message appears, select Open the Setup Center. Repeat the installation and existing-organization assignment for each additional store, then review the connected list again.

The expected result is an active Zapstra Inventory Management installation in each store, with those installations associated with one organization. Shopify still has its own product and location records for each store. Those records need the matching and inventory setup described below.

If your organization is missing

On Connect Your Store, use Find Existing Organization under Don't see your organization? when available. Enter the organization's verified Domain and select Search. This is the organization's verified domain; do not assume it is the store's myshopify.com domain.

Review the matching organization's name and region. Use Join only if the app enables it for your account. If joining is unavailable or your email domain does not match, follow the message to contact an organization admin for access. Do not create a replacement organization merely to get past the selection screen.

If the store opens in an unexpected organization, stop before entering operational records and use Support from Home to resolve the assignment. If installation or assignment appears to time out, reopen Zapstra Inventory Management and check its organization and the connected list before repeating setup. A failed connected-shop read does not mean the installation disappeared.

Review shared records before daily use

Review materials that appear in more than one store using Organize, match and consolidate materials. A matching title or SKU is a starting point for review, not proof that two variants represent the same material. Check the item identity and units before consolidating records.

Next, set up locations and shared stock pools. Two Main Warehouse records may describe the same physical stock, while Outlet remains a different receiving destination. For a shared warehouse, use one verified baseline for each material; never add duplicate store copies of the same physical quantity.

Finally, choose inventory authority and enable syncing. Attaching stores, matching records, recording opening quantities, and authorizing outbound stock updates are distinct steps. Once the intended records and pools are connected, record each real receipt or count once against the appropriate organization record, and verify the resulting availability in the connected stores according to their sync settings.

For subscription changes, open Zapstra Inventory Management billing in the payer store; a linked-store billing page can provide Open billing in followed by the payer's domain. Review Billing and plans for capacity and billing details, then finish with Check your setup before daily use.
