Work through inventory tasks and order picks
Use Inventory → Tasks to find the warehouse work that needs attention. For sales orders, record which bin supplied the stock and how much was picked, then verify the result against the reservation.
This guide is for warehouse operators working against existing tasks. A pick is not a new purchase, a receipt or a way to create stock. Confirm the material and its unit before moving goods, particularly when a supplier sells in cases but inventory is tracked in each.
Choose the right task family
The Tasks page offers separate destinations:
| Destination | Work it contains |
|---|---|
| Inventory differences | Differences between recorded stock and connected-store observations. Use this to investigate reconciliation, not to start a physical count. |
| Sales-order picks | Stock allocated to a sales-order reservation and waiting to be picked. |
| Transfer tasks | Pick, dispatch and receive work for stock moving between locations. |
Production has its own work queue under Production. A component pick for a build belongs to that production order, not to a sales-order pick. Follow production execution for component picks, output placement and scrap review.
For transfers, follow pick, dispatch and receive transfers. For a warehouse count, follow counting with Stock Scan.
Open the sales-order picks for a location
- Open Inventory → Tasks → Sales-order picks.
- Choose a Stock location. The page does not show an organization-wide empty result before you choose a location.
- Find the allocation associated with the reservation you are working on. Read its status and reservation reference.
- Select Show lines to inspect the materials, quantities, planned bins and any quantities already picked.
- Use Next page when offered to inspect additional allocations.
If the page says No picks in this stock location, there are no allocations in the loaded result. If it says picks or stock locations could not be loaded, the result is unknown. Restore the view before assuming there is no work.
Some records may show references instead of familiar material or bin names. Resolve the reference against the material and physical label before picking; do not substitute a similarly named item.
Record what was actually picked
- On the appropriate line, choose Record a pick.
- Review Bin picked from. Select a planned bin if that is where the goods came from.
- If the physical pick came from somewhere else, choose A different bin…. The field currently expects the bin's system identifier, not its printed floor code. Use the exact reference for a bin in this stock location. When there is no planned bin, the same requirement applies. If you cannot establish that reference, contact Support rather than guess.
- Enter Quantity picked in the unit used by the material. The quantity must be greater than zero. Decimal quantities are supported where appropriate to the material's unit.
- Check that the amount is no more than the line still requires, then choose Record a pick to confirm.
- Read any result or warning, reopen the line and confirm the new Picked from entry and quantity.
For example, an existing reservation requires 12 each of Kraft mailer from Main Warehouse. If you physically pick 8 each from MAIN-A01, select its corresponding planned-bin choice and record 8 each. The remaining 4 each still need a valid pick; do not record 12 just because that is the reservation's total.
If a further 4 each comes from another permitted bin, record that actual source separately. One case of Kraft mailer is 24 each, so entering 1 in a field expecting each does not record a whole case. Review units and barcodes when a label or pack size is unclear.
What the result means
Confirmation removes the picked quantity from the source bin's recorded on-hand stock and reduces the corresponding committed quantity. The line records the actual source and amount against its sales-order reservation. It does not, by itself, confirm that a parcel has been dispatched or that an order has been fulfilled in Shopify.
The system checks more than the quantity displayed on the form. The bin must belong to the location, support the operation and have enough unclaimed stock. The pick must remain within the reservation and any applicable lot limits. A reservation that has changed, settled or closed can prevent a later pick even if the physical bin still contains goods.
When Recorded, with warnings appears, inspect the recorded placement first and read the warning. Do not repeat a successful pick in an attempt to remove the warning.
Reverse an incorrect pick
If a recorded placement is wrong and the goods are being returned, use the reversal on that placement rather than adding an unrelated stock increase.
- Open the allocation and select Show lines.
- Find the exact Picked from entry to correct.
- Choose Reverse this pick.
- Review the confirmation: the recorded picked quantity returns to the bin it came from, and the reversal is recorded.
- Confirm, then reload the line and inspect its current quantities before recording any replacement pick.
This reverses the selected pick, not an arbitrary portion entered in the dialog. A fully picked allocation can still permit reversal; an already reversed placement cannot be reversed again, and other closed or ineligible allocations may refuse it. Ensure the physical handling agrees with the correction and retain the reservation reference if the result needs investigation.
Resolve a blocked or uncertain pick
| Message or situation | Next action |
|---|---|
| Quantity exceeds what remains | Reload the line and reduce the pick to the remaining amount actually taken. |
| Insufficient unclaimed stock | Check the actual source bin and its stock. Choose another eligible bin or resolve the stock discrepancy first. |
| Bin required, archived, unsuitable or under policy review | Check bin settings with the person responsible for that location. |
| Reservation or line no longer exists, is not committed, or is settled | Reload and inspect the source work. Do not create a replacement stock adjustment. |
| Position is being changed | Allow the concurrent operation to finish, reload, and verify whether your pick was recorded. |
| Request timed out | Inspect the existing picked placements and activity before submitting again. |
If you cannot establish the outcome, contact Support with the reservation, allocation, material, location, bin, quantity and approximate time. For general stock history, see reconciliation and activity.
