Set up bins and move stock within a location

Bins describe where stock sits inside a physical location. Use them to distinguish storage, pick faces, receiving areas and stock on hold, then record movements between those places without changing the location's total on hand.

Set up your locations and stock pools first. A bin belongs to one stock pool. Moving goods from Main Warehouse to Outlet is a transfer; moving goods from a receiving area to a shelf inside Main Warehouse is a bin move.

Choose a bin policy

Open Inventory → Locations & pools → Bins, then open the stock pool you want to configure.

Under Bin tracking policy, choose the policy that matches the work your team will record and select Save policy.

Policy How to use it
Bins off — unassigned only Stock is held in the system's UNASSIGNED bin. You cannot create ordinary bins while this policy is selected.
Bins optional Create bins and record placements where appropriate, while retaining the unassigned location for stock that has not been placed.
Bins required Use bin-aware workflows and provide the bin where the operation requires it. Resolve missing assignments and policy warnings before continuing affected work.

Switching the policy does not tell the system where every existing unit physically sits. If UNASSIGNED bin needs attention appears, inspect that stock and assign it to the correct bins. When bins are off, leaving stock in UNASSIGNED is expected. An empty default bin may appear as Default in a material's stock breakdown; that does not indicate missing stock.

Create a bin

  1. With bins optional or required, choose Create bin.
  2. Enter a Code that your team can recognize on the floor, such as MAIN-A01 or MAIN-RECEIVING.
  3. Select an Operational type if useful. Options include Storage, Pick face, Receiving staging, Shipping staging, Quality hold, Quarantine, Production input and Production output.
  4. Enter a Primary barcode if the bin has a label your team will scan.
  5. Set Pick priority if you want a preference among eligible bins. Lower numbers are picked first; a blank value leaves no explicit priority.
  6. Review Pickable, Receivable and Countable. These describe whether the bin can support the corresponding work.
  7. Select Hold only when stock in this bin must be excluded from use. Review the effect below, then create the bin.
  8. Confirm the new bin appears under the intended pool before using its code or label in warehouse work.

The bin's operational type describes its purpose. Review the capability checkboxes and Hold setting explicitly rather than assuming the type supplies every rule.

Use a bin's Edit action to update its pick priority, capability flags and, for an ordinary bin, its hold setting. The system UNASSIGNED bin cannot be put on hold. If another person changes the bin while you are editing, reload and review the current values before saving again.

Understand a held bin

Stock in a bin marked Hold remains physically on hand but is not available to pick or consume. Applying or removing a hold can therefore change a pool's available quantity even when no goods move.

A bin hold and a material condition are different. A quality-inspection area can hold several materials, while a damaged quantity describes particular stock. Condition-restricted goods inside a held bin are not counted twice in the availability deduction. Releasing a quality condition does not make goods usable while their bin remains on hold.

See stock quantities and condition changes before changing either setting on stock already in use.

Move a material between bins

Use a bin move to record a physical relocation. Avoid entering a loss in one bin and an unrelated increase in another: the move preserves the relationship between source and destination.

  1. Open Materials, choose the material and open Stock Levels.
  2. Expand the stock location and its bin breakdown. Find the bin the goods are moving out of.
  3. Open that row's move control, identified as Move stock out of the source bin.
  4. Use Search bin to find and select the destination in the same stock pool.
  5. Enter Quantity in the material's stock unit. The panel shows the source bin and its current on-hand quantity. You cannot request more than the displayed source quantity, and the stock system may apply additional eligibility checks.
  6. Recheck the source, destination and quantity against the physical move, then choose Move.
  7. Reopen or refresh the breakdown to confirm both bins. Inspect Activity if the result is unclear.

For example, Main Warehouse has 72 each of Kraft mailer, all in MAIN-RECEIVING. Moving 48 each to MAIN-A01 leaves 24 each in receiving and 48 each on the shelf. Main Warehouse still has 72 each on hand. Available may change if the source or destination has a hold or another restriction.

Allocate unassigned stock and work with files

From the pool's bin page, Allocate unassigned stock opens the relevant Data Exchange workflow. Use its current template and preview to allocate existing unassigned stock within the same pool. This does not receive new stock or transfer stock between locations.

Import or export bins opens the bin file workflow. Review Data Exchange for validation, preview and result checks. A file describing bins and a workbook moving unassigned quantities serve different purposes.

The current bin administration screen may display a limited first set of bins and a message that more exist. Do not treat the visible table as a complete list when that message appears, or create duplicate bins to replace ones not shown. Use the available export to inspect the wider set, and contact Support if the required record cannot be reached.

When a move cannot be completed

Bin list unavailable means the list could not be read; it does not mean the pool has no bins. Reload before changing the setup. No bin matches that means the loaded choices did not match the search.

For an insufficient-stock, capability or policy refusal, verify the source quantity, destination and current bin settings. If a move times out, check both bin balances and activity before sending it again. Do not post a second adjustment merely to make an uncertain move look complete.
