Run production tasks and complete a build
Use a released production order to record component picks, output placement and the quantities actually produced. This guide is for the operator doing the work and the person confirming the completed run.
Find and check the work
Open Production and select the order, or open Work queue and follow a task to its production order. Confirm the output material, manufacturing BOM, planned quantity and production location. Check any Transfer to location before beginning: that choice affects where completion sends the finished stock.
The order's Work section contains Pick components and Place output after release. If Work could not be loaded appears, reload before assuming there are no outstanding tasks.
A released order has committed component stock. Select Start production when the run begins; the order becomes In progress. Starting the order does not consume components or add finished goods. If the order is still a draft, follow Plan a production order and reserve components first.
Record component picks
- In Pick components, identify the component and read its picked-versus-planned quantity and unit.
- Physically pick the component from the appropriate bin at the production location.
- Enter Bin using its system identifier, then enter the Quantity taken in the unit shown. This field does not accept the printed bin code or barcode. If you do not have the exact identifier, contact Support before recording the pick.
- Select Record pick and verify the picked quantity increased by the amount just recorded.
- Continue for the remaining components. For a further pick, enter only the additional quantity being recorded, not the cumulative total.
Picking binds specific stock to this production work. It does not post the final consumption. A pick can be refused if that bin's stock is unavailable or claimed for other work, even when the location appears to have enough stock overall. Check the material, bin, available stock and existing picks before retrying.
For the example run of 10 Gift boxes, a one-unit BOM with no scrap allowance calls for 10 kraft boxes, 20 tissue sheets and 10 metres of ribbon. Record those quantities only if they describe your actual run. Do not substitute a purchased Kraft mailer for a kraft box just because both are packaging materials.
Record output placement
- When output has physically been placed, open Place output on the same order.
- Enter its Bin system identifier and the Quantity placed, using the output unit shown. The bin field requires the system identifier, not a printed code or barcode; contact Support if the identifier is unavailable.
- Select Record placement and confirm the task response before recording another placement.
This action records where the output was put. It does not yet add finished stock. The task may remain In progress after placement is recorded, so that status alone is not a reason to enter the same quantity again.
A placement task record is also not sufficient evidence of the bin used by the final inventory posting. Check the posted bin after completion. If it differs from where the stock physically sits, investigate before recording another build or making another placement.
Complete the production order
- Reconcile the physical output and components used with your run record. Account for unused components and any loss separately.
- On the In progress order, select Complete Production.
- Review Output quantity and Scrap quantity. Output quantity includes scrapped output; Scrap quantity is deducted from that total. For 10 produced, including 1 scrapped, enter output 10 and scrap 1, leaving 9 in stock. The form starts with planned output and zero scrap; these defaults are not a measurement of what happened.
- Select Show beside Adjust component usage?. Check every component and replace a planned quantity with the actual quantity consumed where necessary. Changing the output quantity does not establish the actual usage of each component.
- Confirm only when all quantities and units match the real run, then select Complete Production.
- Reopen the order and verify Completed, the completed quantity, each component's Actual qty, and any Excess over its planned quantity. Check the inventory result at the production location and any configured transfer destination.
For the example with no loss, output is 10 Gift boxes, scrap is 0 each, and consumption is 10 kraft boxes, 20 tissue sheets and 10 metres of ribbon. Completion records that component consumption and finished output and settles the production commitments. It does not change the saved BOM recipe.
If the real run has scrap, record it truthfully. A completion can require a scrap reason. If your completion form does not offer the required reason field, stop and contact Support with the order reference and actual quantities. Do not set scrap to zero merely to pass validation. The separate scrap review below does not replace a required reason at completion.
Review recorded scrap
A completed order with recorded scrap can have a Scrap review task. This review happens after completion.
- Open the completed order and find Scrap review under Work.
- Check the recorded scrap quantity and unit.
- Choose Confirm as scrap or Returnable — needs a stock adjustment, according to the physical assessment.
- Add the relevant Note and select Record disposition. Verify that the review is Done.
Choosing Returnable — needs a stock adjustment records a judgement only. It does not restore stock. If goods can actually be returned, use a separately authorized inventory adjustment, with the correct material, quantity, condition, bin and reason. First check whether anyone has already recorded that return.
Handle an incomplete or uncertain result
Applying means a production operation is being applied; it is not confirmation that the build is complete. Refresh the existing order and inspect its status before making another stock-changing request.
If The last completion was not applied reports a stock shortage, review the identified stock and actual quantities, correct the cause, then complete again. If a different error or timeout occurs, first verify the order and inventory: completion may have succeeded while a linked transfer or response did not finish. Do not duplicate the order or manually add its output as a shortcut.
For bin or placement refusals, resolve the specific requirement shown. If the screen cannot express the required placement, contact Support. For an already completed order, use Correct or reverse completed production.
Where Zapstra Inventory Management controls inventory and outbound syncing is enabled, resulting available-stock changes can flow to linked Shopify locations. Verify that separately using inventory authority and syncing; a completed build alone does not establish that Shopify has updated.
