Understand plans, operational usage and capacity
Use your organization's plan, completed work and connected devices to understand Inventory Management capacity and estimate costs. Inventory Management and Stock Scan share operational usage for the organization. Work performed from a linked shop draws on that organization's allowance.
Open Home and select Manage billing in the usage section. The Plans and operational billing page shows the plan, payer, usage period, device slots, linked shops and available billing actions. An organization owner or administrator approves changes. See Manage the payer, billing and plan changes for the approval steps.
Plan and timing reference
Prices are in USD. Paid-plan totals include the base price plus applicable additional events, provisioned device slots and linked shops. Review the terms displayed in Zapstra Inventory Management and the final Shopify approval before accepting a charge.

|---|---|---|---|---|
| Monthly base price | $0 | $49 | $129 | $299 |

| Usage period | UTC calendar month | Shopify-confirmed billing cycle | Shopify-confirmed billing cycle | Shopify-confirmed billing cycle |
| First eligible paid-plan trial | No paid-plan trial | 14 days | 14 days | 14 days |
| Inactivity pause | After 60 days without successful live work | Not the Control inactivity policy | Not the Control inactivity policy | Not the Control inactivity policy |

Additional event charges are proportional to actual events. They are not rounded up to whole blocks. Scale uses graduated bands: crossing a boundary does not reprice earlier events at the later rate. Charges aggregate before the cycle total is rounded to the nearest cent.
What counts as an Operational Event?
Operational Events measure completed inventory work. Scanning a barcode repeatedly or receiving more units on the same receiving line does not make each scan or physical unit a separate event.
| Completed work | Counting unit |
|---|---|
| Receiving | Each posted receiving line |
| Transfer dispatch | Each dispatched line within a shipment |
| Transfer receipt | Each transfer line when its first positive receipt is recorded; later partial receipts of that line do not add another receipt event |
| Physical count | Each committed count session for its stock pool |
| Bin movement | Each posted bin movement |
| Production | Each completed production order |
| Manual adjustment | Each posted manual adjustment transaction |
| Supplier return | Each posted supplier-return line |
For example, a delivery of Kraft mailers from Northwind Packaging is measured by its completed receiving lines, regardless of how many individual mailers those lines contain. A supplier return is separate completed work. Corrections and reversals link back to the original work; they do not add another charge or refund the original completed work.
Reads, setup, staging, live synchronization and raw scans are not metered as Operational Events. Picking is not metered. Replaying an existing completed operation does not create new usage. Importing reference data is different from using an import to perform supported live inventory work: the completed inventory operation can count in the same way as work entered in the app.
Control, trials and interrupted capacity
Ordinary Control is a free live workspace with the allowances in the table. It does not create a Shopify subscription. When its event allowance is exhausted, choose a paid plan to continue work that needs more events; reads and live synchronization remain available. Another scanner or linked shop also requires sufficient plan capacity.
An eligible organization's first paid-plan approval includes the trial shown above, with the selected plan's allowances. Installation does not start the trial. Review the trial terms in Shopify when approving the plan. Later approvals or a change of payer do not create another first-plan trial.
These states have different effects:
| State | What to expect | Next action |
|---|---|---|
| Ordinary Control | Live work within its allowances; reads and sync available | Continue within capacity or review a paid plan |
| Control paused for inactivity | Live sync is paused after the inactivity period | Review the Home status and available resume action |
| Paid allowance used | Approved additional usage can continue within the spending cap | Review recorded usage and remaining cap |
| Spending cap reached | Affected live work needs billing attention; unposted work is preserved | Have an administrator review the cap |
| Payer recovery | Retained live capacity continues until the displayed fixed deadline | Approve a payer in a remaining active shop |
| Control after recovery or paid-through access ends | Device writes and live sync are paused; read access and captured history remain | An administrator must approve a paid plan to resume |
| Capacity unavailable | The app could not verify the needed capacity | Check billing or contact support before assuming a result |
Plan changes do not reset usage counters. For pause, recovery and cancellation instructions, see Pause operations or uninstall safely.
Read usage and compare a prospective month
On Plans and operational billing, read the displayed period first. Usage this billing cycle and Usage this calendar month describe different periods. The work breakdown separates receiving, transfers, counts and other completed operations.
Device slots shows used and available capacity. Linked shops (active) compares connected shops with the subscribed quantity. An unavailable allowance or unprovisioned scanner message needs review; it does not mean that the organization has no devices or no usage.
Projected total this cycle uses recorded events and approved device and shop quantities. It excludes taxes, discounts and proration and does not submit a charge. The billing view does not provide an itemized event export.
To compare a prospective month:
- Select Explore a prospective pricing estimate.
- Enter your expected Operational Events, total StockScan devices, and total Linked shops. Include the devices and shops already included in a plan.
- Review the base, additional-event, device and shop amounts for each paid plan, then the estimated total.
- Return to billing if you want to review an actual plan approval.
The calculator uses your entries, not current usage. It assumes the devices and shops remain provisioned for the full period and excludes taxes, discounts, credits and proration. Blank inputs mean unknown; enter a whole non-negative quantity in every field to obtain a comparison. The lowest estimated paid-plan total is an estimate, not a subscription change.
