Configure units, packs and barcodes

Set up units so purchasing, inventory and scanning agree on what a quantity represents. A case of 24 mailers and one individual mailer are two units of the same material. Their barcodes must resolve to the correct unit before an operator counts or receives them.

Start with the base unit

The Base unit of measure on a material is the unit used for its stock quantities. For Kraft mailer (MAILER-KR6), use Each (EA) when the warehouse holds and issues individual mailers. A supplier's case is then an alternate unit with a conversion to each.

Configuration Example Meaning
Base unit Each, multiplier 1 One stock unit is one mailer.
Alternate unit Case, multiplier 24 One case represents 24 each.
Supplier unit Case, linked to the material's case unit Supplier quantities are interpreted using that conversion.
Barcode unit Each or Case The label identifies the quantity unit that was scanned.

A multiplier is a quantity conversion, not a price. A case priced at USD 24 contains 24 each, so its equivalent price is USD 1 per each. Three cases represent 72 each and USD 72 before additional charges. Use your actual pack size and quotation in place of these examples.

Add an alternate unit

  1. Open Materials, choose the material, and open Units & barcodes.
  2. Review Units of measure. Confirm that the base unit has multiplier 1.
  3. Select Add UoM.
  4. Choose Unit of measure. For the mailer example, select Case and review the Unit name.
  5. Enter Quantity multiplier as 24. The help text identifies the base unit: this is the number of base units represented by one case.
  6. Add the case's dimensions and weight only if known. Enter all three dimensions and their unit, or leave them all blank. Dimensions and weight must be greater than zero when supplied.
  7. Select Add, then verify the new row's Code, Label and Base units.

The unit selector also supports searching the unit vocabulary and Custom unit. Prefer an existing unit where it matches your operation. The code is the stored identity; changing the name displayed alongside a code does not create a different conversion.

The base unit's multiplier remains 1. Its dimensions and weight are maintained on the material, and its unit row cannot be deleted. Use an alternate unit for a pack rather than attempting to turn the base row into a case.

Connect supplier units and order constraints

Next, open the supplier's Products tab and configure the material's Supplier unit of measure. Select the material's case unit rather than assuming that typing a supplier SKU defines its pack size. See supplier products for price, currency, quantity multiplier and minimum-order setup.

Pack conversion, minimum order quantity and order multiple answer different questions. The conversion says how many each a case contains. A minimum says how much the supplier will accept. An order multiple constrains the increments used in an order proposal. Adding a case unit alone does not establish every purchasing constraint.

Review the quantities and units in the Order plan proposal and again on the resulting draft purchase order. In particular, do not enter 3 into a field showing each when you intend to purchase 3 cases. Use stock targets for the planning rules and rounding examples.

Register a barcode

  1. On the material's Units & barcodes tab, confirm that the unit printed on the physical label exists.
  2. Under Barcodes, select Add barcode.
  3. Enter the full Barcode value, preserving leading zeros.
  4. Review Symbology, which identifies the barcode format. The form shows why a format is unavailable when the value has the wrong length, characters or check digit. Use the actual label's format.
  5. Select Unit of measure. A case label for the mailer belongs to Case, with multiplier 24; a label on one mailer belongs to Each, with multiplier 1.
  6. Select Add and verify the barcode row's UoM, Multiplier and Status.

Adding a barcode makes the identity available to scanning workflows. It does not post stock. Before using it on real work, check that Stock Scan resolves the intended material and unit; review the workflow's displayed quantity before committing any inventory change.

To correct a barcode's unit or symbology, select its Edit action and Save. The barcode value itself is not editable. If the printed code was entered incorrectly, register the correct value and deprecate the incorrect active entry with Deprecate. Review the status afterward rather than assuming that closing the dialog means the write succeeded.

Decimal quantities and packs versus BOMs

Use decimal quantities when the material and workflow support fractional units. For example, 1.5 metres of ribbon is a quantity of the ribbon material; it is not 1.5 individual mailers. A conversion must be a positive number, and every quantity should remain paired with its unit. Review any whole-unit or increment validation instead of silently rounding a measured quantity.

A pack conversion describes more or less of the same material. A bill of materials describes how different components make an output. A Gift box containing a kraft box, tissue sheets and ribbon needs a BOM; it is not a 24-each case conversion.

Review and resolve problems

If Setup Center opens Review units and barcodes, open the listed materials and complete this review before selecting Mark units and barcodes reviewed. That action records your review; it does not automatically correct the underlying units or labels. Use Data Exchange for a larger catalog.

If Units of measure unavailable or Barcodes unavailable appears, reload before concluding that setup is missing. Barcode creation needs an existing material unit. If deleting an alternate unit is refused, check active barcodes and supplier products that reference it; update those relationships only after verifying the correct replacement.

If a save times out, reload the material and inspect the original row before adding another. For an existing wrong conversion, review dependent supplier and barcode settings as well as open work. Changing a setup value is not a correction to an already completed receipt or count.
