Manage date-effective prices and purchasing terms

Use a product's pricing schedule to record an agreed future price, and the supplier's Terms tab to record purchasing responsibilities and ownership conditions. These are separate records: a dated price supplies an amount and currency; procurement terms describe delivery risk, ownership, and trade responsibilities.

Have the supplier's agreed prices and terms available before entering them. The supplier must be linked to a Business Partner before you can author either date-effective prices or procurement terms. If the page says that this link is missing, contact Support through Home for help with that supplier record. Creating another supplier merely to bypass the message risks duplicate purchasing records.

For procurement terms, your organization also needs the buyer legal entity that purchases under the agreement. You can manage legal entities through Home's Settings, under Trade & costing → Entities. When several buyer entities are available, select the correct one explicitly.

Schedule a future product price

  1. Open Suppliers, select the supplier, and open Products. Find the linked material and confirm its supplier unit and current currency.
  2. Select Schedule beside Unit cost. The Pricing Schedule window lists the existing date windows and their statuses.
  3. Select + Add future price. Enter a Start date later than today. For an immediate change, use the current cost editor on the supplier's product card instead.
  4. Keep No end date selected for an open-ended agreement, or clear it and enter End date. Review the entire timeline so your dates reflect the agreement.
  5. Select Currency and enter Unit cost in that currency and the linked supplier unit. A case price and an each price are different amounts even when they describe the same goods. The supplier-products guide explains this setup.
  6. Add Notes if helpful, then select Save. Reopen the schedule and verify the dates, price, currency, and Scheduled status.

Adding a future price does not immediately replace today's quote. Review the applicable price again when preparing the purchase. Scheduled pricing does not notify the supplier or revise an agreement outside Zapstra Inventory Management.

Select an editable schedule row to review or change it. An active row's start date is locked, and the active row cannot be deleted. Currency is locked when editing an existing row; do not relabel an old amount as another currency. For a future agreement in a new currency, add a future price with that currency and review its date alongside the other records. Superseded records are read-only history. Deleting an eligible non-active row removes it from the displayed schedule.

Create and activate procurement terms

  1. Open the supplier's Terms tab and select New terms.
  2. Review Buyer legal entity. Auto (single active entity) is appropriate only when there is one active buyer entity. If several are available, choose the legal entity covered by this agreement.
  3. Set Valid from and, if applicable, Valid to (optional). Review Specificity, which helps select between equally scoped terms. Keep the default unless you intentionally need a different priority among overlapping agreements; a higher value wins that priority comparison.
  4. Complete Delivery & risk: select Incoterm rule and Incoterm version, enter Named place, and review Risk of loss basis, Freight organizer, and Insurance responsibility. Selecting an Incoterm prefills related responsibilities. Review those values against your agreement before saving.
  5. Complete Title & ownership: select Ownership model, Title transfer trigger, Disposition authority, and Payable settlement trigger. Review Goods identification required and Acceptance required. These choices describe the agreement; entering them does not itself record a receipt, acceptance, or payment.
  6. Complete Trade responsibility: review Exporter of record, Importer of record, Export clearance, Import clearance, Duty/tax responsibility, and Broker responsibility.
  7. Select Create draft. Verify that the record appears with status draft. Creating the draft does not make it active.
  8. After reviewing the agreement and dates, select Activate on that draft. Verify active status. Active status and the validity window both matter when terms are selected for a purchase.

The procurement-terms form does not set a purchase-price currency. Maintain that on the supplier product or its pricing schedule. Similarly, ordinary payment terms on the supplier's Overview are separate from the detailed responsibility and ownership record here.

Replace or cancel a record

To discard a draft, select Cancel on its card. If a draft contains an error, cancel it and create a corrected draft; the supplier page does not expose a draft-edit action.

To change active terms, select Supersede. Review the copied responsibilities, enter the replacement's validity dates, and select Create & supersede. This action creates an active replacement and supersedes the previous active record together. Treat it as the final replacement action: there is no later activation step for that replacement. Check both statuses afterward and make sure the replacement's validity covers the intended purchasing date.

Resolve missing data or an uncertain save

If terms are temporarily unavailable, refresh before making changes. An unavailable list does not mean the supplier has no terms. If buyer-entity selection cannot be resolved, check the legal entities in Settings and reopen the supplier. Complete all responsibility fields if Create draft remains disabled.

After a timeout or error, reopen the supplier and inspect the existing schedule or terms records before repeating the action. Confirm the original draft, replacement, or cancellation status first. Continue with location sourcing and proposal review once prices and terms are ready.
