Create and maintain suppliers
Create a supplier record to hold the company details, purchasing defaults and primary contact used in your buying workflow. After creation, link the materials you purchase from that supplier and review the delivery locations it can serve.
Have the supplier's company name, ordering contact and established commercial details available. A Shopify vendor value can help identify a supplier, but it may be a brand, shorthand or inconsistent spelling. Review existing suppliers before adding another record.
Add a supplier manually
- Open Suppliers and select Add supplier.
- Enter Company name. For example, use Northwind Packaging.
- Select Payment terms if agreed: Net 30, Net 60, Net 90, Due on receipt, Prepaid or Custom. Leave unestablished terms unset.
- Choose Currency from the available currencies. For the example supplier, select USD only if its quotation or agreement establishes USD. The field is optional, so you can leave it unset while confirming the currency.
- Enter Standard lead time (days) if known. This is the average number of days from order to delivery; an unknown lead time should remain unknown.
- Complete the supplier's Billing address and Primary contact, including Contact name, email and phone. The email is used when sending purchase orders, so verify the intended ordering contact.
- Select Save.
The next screen lets you link products. Continue with the materials you buy, or use Skip for now and return later. Saving the supplier does not send a purchase order or ask the supplier to acknowledge anything.
Open the supplier's Overview afterward and check its company name, currency, payment terms, lead time, contact and address. A displayed dash means a value is unset; it is not confirmation of a zero lead time or a default currency.
The supplier's billing address is different from your receiving address. Configure Main Warehouse or Outlet as a receiving destination through locations and stock pools.
Create a supplier from Shopify vendor suggestions
Use this path when Shopify already contains useful vendor names. Suggestions are reviewed one product page at a time and do not create records until you confirm.
- From Suppliers, select Review Shopify vendor names.
- Inspect Original Shopify vendor values and any Existing suppliers with a matching name.
- If an existing record is the correct supplier, select Use existing supplier for that record. This resolves the suggestion and opens the supplier; it does not change the supplier's details or link products.
- To create a new supplier, select only the vendor names that belong to the same company. For example, reviewed spelling variations of Northwind Packaging may be combined into one record.
- Enter Supplier name for the selected vendors and select I reviewed these names and want to create one supplier.
- Select Create 1 supplier from … vendors. Open the resulting supplier and complete its contact and commercial details.
- Use Next product page to inspect further suggestions when available.
Ignore for now removes a suggestion from the current review. If matching existing suppliers was incomplete, check the full Suppliers list before creating a new one. Combining vendor suggestions creates one new supplier; it does not merge existing supplier records, alter Shopify's vendor values or automatically assign products.
Edit supplier details
- Open Suppliers and select the supplier.
- Select Edit and review Overview.
- Update Name, Payment terms, Currency, Lead time (days), the primary contact or billing address.
- Select Save in the save bar and verify the refreshed values.
Use these defaults to reflect the current purchasing relationship. Review each purchase order's own currency, amounts and delivery terms before sending it. A changed supplier default should not be treated as confirmation that an existing order or invoice has changed.
For date-effective agreements, use procurement terms. For a material's cost, supplier SKU or purchasing unit, use the supplier's Products tab and supplier-product setup.
Maintain the supplier's status
The Suppliers list includes All, Active, Inactive, Archived and Blocked filters. Check the current status when a supplier seems to be missing from a filtered list.
To change status, open the supplier, select More actions, and choose the appropriate Mark as … action. Afterward, verify the status badge and the record under the corresponding list filter. If you are setting aside a supplier you no longer use, Mark as Inactive gives you an explicit status change to review.
Status changes can be refused when the underlying supplier relationship does not permit them. Read the returned reason rather than repeatedly selecting another status. A supplier status change is not a purchase-order cancellation, payment update or dispute resolution. Use More actions → View purchase orders to review outstanding work separately.
Verify readiness for purchasing
Before using the supplier on an Order plan, review three things: the primary contact, the linked materials and their prices/units, and the receiving locations it can serve. A supplier can exist before all three are complete.
For Northwind Packaging, the Kraft mailer supplier product should identify the exact item the company sells, its quoted currency and the relationship between cases and each. Location-specific lead time and freight belong in supplier sourcing. A company-wide lead time does not automatically describe every delivery route.
If creation or editing is uncertain
If saving times out, search the supplier list before creating a second record. In vendor review, use Retry this request when the original request is unconfirmed; do not start a fresh review to work around an uncertain result. If told the review is no longer valid, use Reload suggestions and review the refreshed names again.
If Suppliers could not be loaded appears, reload before assuming there are no suppliers. If a currency cannot be selected, verify the supplier's actual currency and retry loading the form rather than substituting an unrelated currency.
