Inventory management for Shopify
Connect the stock you buy, hold, move and make.
Manage inventory across purchasing, receiving, transfers and production in one operational workspace. Plan what to buy, collaborate with suppliers and track what actually arrived. Connect materials and shared physical stock to your Shopify stores.
- Follow the order beyond “sent”
- Keep supplier and stock units connected
- Connect the office and warehouse
The work behind the storefront
When an order is only the beginning.
Knowing what you ordered is different from knowing what is happening. Your next purchasing decision needs the supplier’s latest agreement, the warehouse’s actual receipts and a stock position your team understands.
The agreement changed in an email.
Keep supplier responses, proposed changes and conversations attached to the purchase order your team is working from.
The delivery arrived, but it was incomplete.
Record accepted and rejected quantities, leave later deliveries outstanding and give discrepancies a next step.
Two storefronts draw from the same shelf.
Map shared physical stock deliberately, with clear locations and an explicit choice of which system controls inventory.
Built around your operation
Keep the details that change the outcome.
A supplier’s case size, an amended quantity or a missing delivery can change what you should buy next. Zapstra Inventory Management gives those details a place in the workflow.
Purchasing units
Buy in your supplier’s units. Understand stock in yours.
Connect materials to supplier SKUs, case sizes, prices, minimums and order multiples. Order plan turns purchasing requirements into proposals you review before creating draft orders.
See how order planning worksSupplier collaboration
Give suppliers a clear place to respond.
Share an order link so suppliers can accept or propose changes, add shipment information and submit invoices. Responses and conversation stay with the order; suppliers do not need a Shopify account.

Keep partial deliveries and problems visible.
Record what you accept and reject, keep later deliveries outstanding and follow a credit or replacement discussion. Shipment, receipt and invoice records each preserve their own meaning.
Follow a receiving exceptionShared inventory
Give shared stock a clear physical home.
Connect eligible Shopify locations to one physical stock pool when stores sell the same warehouse inventory. Keep separate locations separate, and record goods moving between them with transfers.
Understand locations and stock poolsMaterials and production
Plan for what goes into the finished product.
Manage packaging, components and semi-finished materials alongside sellable goods. Define bills of materials, check component availability and connect completed production to consumption and output.

Carry the work onto the floor with Zapstra Stock Scan.
Use the same materials, barcodes, locations and operational work for supported mobile receiving, counting and bin movements. See the difference between work saved on a device and changes that have applied.

A replenishment day, from decision to receipt.
Follow one material through the decisions your buyer, supplier and warehouse team make.
Review the need
Check available, incoming and already-planned stock. Enter purchasing intent and review the supplier’s units and ordering rules.
A proposal ready for your review
Agree the order
Create draft purchase orders from the proposal, review and send them. The supplier responds through the order link; your team reviews changes.
An agreement attached to the order
Receive what arrives
If 48 of 72 each arrive, record the accepted 48 each and keep 24 each outstanding. Record rejected goods and the resolution you need separately.
Actual receipts and a visible remainder
Continue the operation
Inspect the resulting stock, transfer it or use it in production. Updates to connected stores follow the inventory control and syncing you have enabled.
Stock ready for the next workflow
One purchasing decision, followed through the work it creates.
Choose the right starting point
Start with the workflow that is costing you clarity.
You do not need to begin with every operational workflow. Start with one supplier, one material and one receiving location, then review the broader fit.
A good fit when…
- Repeat purchasing with supplier-specific products, packs and terms
- Deliveries that arrive in parts or need a documented resolution
- Multiple stock locations or stores sharing physical inventory
- Products built from purchased components or packaging
Plan for these setup decisions
- Confirm material identities, supplier links and purchasing units
- Choose locations and verify opening quantities
- Decide who controls inventory before enabling store updates
- Agree who sends orders, receives stock and resolves exceptions
Works with Zapstra Stock Scan
The same operation, in the operator’s hands.
Inventory Management gives buyers and operations teams their workspace. Stock Scan connects receiving, counts and supported warehouse work to those records from the floor.
Plans & access
Plan around your team, locations and workload.
Inventory Management and Stock Scan share operational usage within your organization. Compare completed inventory work, provisioned Stock Scan device slots and linked shops together. Raw barcode scans, setup and reading records are not Operational Events.

Questions merchants ask
Is Zapstra Inventory Management only for products I sell on Shopify?
No. Materials can also represent packaging, components and other items you purchase or consume without selling separately. Shopify variants and supplier products can link to the relevant material.
Can suppliers respond without joining my Shopify store?
Yes. Suppliers use the purchase-order link you share to review and respond through the Supplier Portal. They do not need a Shopify account.
Does it forecast demand or place orders automatically?
Current planning uses purchasing intent and stock targets. You review the sourcing proposal, create draft purchase orders and send approved orders. Demand forecasting and unattended purchasing are outside the workflow described here.
Can several stores share the same warehouse stock?
Yes, with shops attached to the same organization and eligible locations configured for the shared pool. Verify opening quantities, mappings and inventory control before enabling updates. Connecting shops alone does not configure shared stock.
What happens when a delivery is incomplete or damaged?
Receive the quantities that arrived and were accepted, keep the remaining obligation visible and record rejected goods separately. Available dispute workflows let you discuss a credit or replacement and follow the agreed outcome.
Do I need Stock Scan to use Inventory Management?
You can manage purchasing, suppliers and receiving in Inventory Management. Stock Scan adds supported scanning and floor workflows against the same workspace. Physical counting is documented through Stock Scan; review the workflows and device capacity your team needs.
Will Zapstra Inventory Management replace my accounting system?
Zapstra Inventory Management maintains purchasing, invoice-review and inventory records, with trade-cost configuration and illustrative landed-cost estimates. Those estimates are not finalized accounting or cost of goods sold. Review the available data and your accounting process before relying on a handoff.
